Portlets are rich in record information

 
Portlets are small, but they pack a huge information punch. Not only do they show you lists of records, but they also display a lot of information about those records - whether your portlets are in list or grid view !
 
Portlets also show valuable information about the status of the records and additionally, they provide quick access links for some common actions.

Mouse-hover over features to see text tips

 
Most RM Workspace features provide you with a helpful text tip when you mouse-hover over the feature or

Select box

To select a record for further action, tick this checkbox then select from the list of actions available in the actions menu  on the right side of the screen.
 
In grid view, you can select all records on the page by ticking the checkbox in the column header.

File type icon

The file type icons are standard application icons, telling you at a glance, which (if any) type of file is attached to each record.

Access details pane

Mouse-hover over a file type icon to open the details pane to see a summary of the record's metadata.
 
Note: If the details pane doesn't display, either your RM Workspace administrator may not have enabled it for display or you should check to see if the WCAG mode setting is ticked in your Personal Settings on the RM Workspace settings tab.  If WCAG mode is ticked, the details pane is not available.

Click on title to view attachment

When you click on a record's title, if the record has an attachment and if you have the appropriate permissions to view the attachment, it will open in a preview window which offers you options to download (a read only copy) download and open a read only copy of the file in its specified application, export an editable copy of the file or check it out for editing. 
Note: If the record title is displayed in italics in RM Workspace, it indicates that you have the record checked out for editing.  See #16 below on how to further identify records which are checked out.

Container record type icon

Container record types display the icons selected in HP TRIM/HPE RM for each container record type.
Mouse-hover over the icon, to display the details pane for the record  (Also see #3 above).

Record is checked out to you

If the record is checked out to you, the title will be displayed in italics. You (or anyone with the appropriate permissions) can still open the record's attachment in read-only mode by clicking on the record's title.

Record has no attachment

The icon with paperclip indicates that there is no file attached to this record - but that a file can be attached to it.

Click on this icon to browse to, select and to attach a file to the record (provided you have the appropriate permissions).

Record tag

If you have the tag field displayed, any tags you have attached to records will display in the portlet. Note: If your portlet is in grid layout, you may need to scroll horizontally within the portlet to see the tag column.

Record is finalised

The red padlock icon indicates that the record has been finalised and that no further edits are allowed.

Record has restrictions

The blue padlock icon indicates that you are restricted from undertaking some actions on the record. Mouse-hover over the icon to see information on the restriction(s).

Record is Checked in

The icon with pen lets you know that this record is checked in and is available for editing.

Click on this icon to check the record out - if you have the appropriate permissions to edit the record's attachment.

Current action outstanding

The blue clock icon indicates that the record has a current action attached. Mouse-hover over the icon to see information on the action including the current action name, the user responsible for the action, the due date of the action etc.

Click on this icon to complete the current action - if you have the appropriate permissions to complete the action step.

Favourite record

The coloured star tells you that this record has been added to your favourites.  If the star is uncoloured - it has not been added to your favourites.

Click on the coloured star to remove that record from your favourites.

View container contents

The 'view contents' icon is a further indicator (see #5 above) that this record is a container type record. It will only display if there are records contained.

Not a favourite

The un-coloured star tells you that this record has not been added to your favourites. If the star is coloured - that record has been added to your favourites.

Record is checked out

The icon with disk indicates that this record has been checked out by someone.

If the record is checked out to you (title shown in italics), you can click on this icon to check the record back in.
 
If someone else has the record checked out, you can quickly find out who has it, by mouse-hovering over the disk icon.
 
Tip: Many RM Workspace icons provide useful text tips if you mouse-hover over them.
