Performing actions on records

 
The actions menu displayed on the right side of RM Workspace screens is contextual, displaying different actions depending on the records you have selected.
 
Some actions do not require prior record selection (Create record, Show requested records etc) and these actions are displayed at all times. Additionally, you can at any time and if you have the appropriate permissions, click on the title of any record with a digital attachment, to preview a copy of the attachment. From the Preview window, you also have the choice to download (a read only copy), download and open a read only copy of the file in its specified application, export an editable copy of the file or check it out for editing. 
 
 
Additional actions are displayed only after you have selected one or more records to be actioned.
 
Records can be selected for action by ticking the select checkbox for each record to which you want the intended action to apply.
 
 
The RM Workspace actions menu is contextual;  that is, the actions available in the actions menu at any given time are dependent on:
 
For example an End user or Enquiry user may not have permission to edit a document.
A limited number of actions are displayed in the actions menu when you have no records selected
For example, a record may be restricted to only allow a specific TRIM/RM group to edit a document.
For example, if you have selected a record with no attachment, the checkout/edit action will not appear in the actions menu
For example, the ‘Relate records’ action is only available when more than one record is selected
 
The RM Workspace administrator determines which actions will be available for use in each installation, so different installations may have different actions available to users.
 
Tip: If an action you expect to see is not displayed in the actions menu, check the number of records you have selected (see the top of the actions menu) - there may be more than you think !
