Some actions do not require prior record selection and these actions are displayed at all times in the actions menu on the right side of the screen (depending on the permissions of your HP TRIM/HPE RM user profile).
Additionally, you can at any time and if you have the appropriate permissions, click on the title of any record with a digital attachment, to preview a copy of the attachment.
From the Preview window, you also have the choice to download (a read only copy), download and open a read only copy of the file in its specified application, export an editable copy of the file or check it out for editing.
Note: You will only see the actions described below if they are enabled by your RM Workspace administrator and if your HP TRIM/HPE RM user profile permits you to undertake the actions.
Create a document or container type record with view
access restricted to the user or an administrator
If enabled for display in your installation, clicking this option will initiate the new record creation process, enabling you to create both document and container type records (depending on your HP TRIM/HPE RM user permissions) - BUT the View metadata access to the new record will be restricted to you and to your HP TRIM/HPE RM administrator. This provides the administrator with authoritative oversight of new records.

Tip: If any of the displayed actions are not visible on your screen, your organisation may have determined that they are not required and your RM Workspace administrator may not have configured them to display.
Access to HP TRIM/HPE RM's advanced search facility
If RM Workspace's extensive search capabilities are insufficient for your needs, this link provides access to the HP TRIM/HPE RM advanced record search function.
RM Workspace advanced searches are undertaken using the HP TRIM/HPE RM string search method which enables considerable technical search flexibility. A limitation exists however in that it is unable to undertake some complex searches using two sets of criteria in respect of a single object. Such searches can only be undertaken by using the HP TRIM/HPE RM Boolean search method directly in HP TRIM/HPE RM itself.
Examples of such complex searches include:
1. User wants to search for a record (object) which has a specific action attached (criteria 1) AND for which the current action step is assigned to a specific location (criteria 2) or
2. User wants to search for a record (object) with a specific access control (criteria 1) set to a specific location (criteria 2).
In HP TRIM 7.X, when TRIM’s Advanced Search form is launched by clicking on RM Workspace’s TRIM Query link, even if you use TRIM’s Boolean type method (user option in TRIM), the search you formulate has to be converted to a string search method in order to integrate with RM Workspace. Because this type of complex search (examples above) cannot be undertaken using TRIM’s string search method, it will fail if undertaken from TRIM’s advanced search form launched by clicking on the ‘TRIM Query’ link from RM Workspace. You can only undertake these complex searches when working directly in HP TRIM using TRIM’s Boolean search method.
In RM 8.X, some of these complex searches can now be undertaken using the string method - thus they will work from RM Workspace. Other searches - previously available in HP TRIM 7.x - can no longer be undertaken even in RM 8.x. directly using the Boolean search method.
Note: The HP TRIM/HPE RM search method used when you click on the TRIM query link is determined by your preference setting in HP TRIM/HPE RM. Refer (in TRIM) Tools/Options then click on the 'Search' tab. The 'For records' setting applies for this purpose. Most commonly, this will be set as 'Boolean search editor'.
