My (RM Workspace) Groups

 
All users have access to the 'My groups' screen, from which you can create RM Workspace groups, view your RM Workspace group membership information and where you can manage RM Workspace groups for which you have administrative rights.

Access My Groups

In the Collaboration section of the left side navigation bar, click on 'My groups' to access the  'My groups screen'. From this screen you can create RM Workspace groups, view your RM Workspace group membership information and you can manage RM Workspace groups for which you have administrative rights.

Create an RM Workspace Group

 Any user can create new RM Workspace groups; allocating a name, description and specifying adminstrators and members for each group.

My groups list

The My groups screen displays a list of all groups of which you are an administrator or a member.  The groups are listed alphabetically ascending, but you can temporarily re-sort them alphabetically descending or by the date created in either ascending or descending order. To resort by either the Group name or the date created, click in the title area for the desired column.

View shared records

Click here to display a list of records which have been shared with the group together with information on the record share.
  • This is an alternative to looking at the 'Shared with group' portlet on the group's tab screen, and this view displays the record share comments entered by the 'share-er'.
  • This feature also allows RM Workspace group administrators to remove records shared with the group by any of the group's members.

Shared record information

Whilst records shared with groups are displayed in the 'Shared with group' portlet in the group's screen; when expanded, this section enables you to see who shared the record, with whom it was shared and on what date it was shared together with any comments which may have been entered by the 'share-er'.

No administrative rights

Only the administrator(s) of an RM Workspace group are able to edit or delete that group.  Additionally, apart from the 'share-er' of any shared record, only the administrator(s) of an RM Workspace group can remove records which have been shared with the group.

Edit RM Workspace group

If you are an administrator of an  RM Workspace group, an edit icon will be displayed against the group, giving you access to the edit group function.  In edit group mode, you can amend the group's name, description and membership. Users who are not administrators of the group will not see the edit icon (#6 above).

Delete RM Workspace Group

If you are an administrator of an RM Workspace group, you are able to delete that group by use of the delete icon. Users who are not administrators of the group will not see the delete icon (#5 above).

Remove shared record

If you are an administrator of an RM Workspace group, you will see a remove icon against each record shared with that group, enabling you to remove shared records which are no longer needed.
While the person who shared a record with the group can always delete the share, this facility gives the group's administrator(s) the option to remove record shares without involving the 'Share-er'.
 
Tip: If necessary, you can temporarily change the widths of columns by mousehovering over the dividing line between two columns, in the title field. When the cursor changes, click and drag the line to amend the column's width. Column widths will revert on refresh.
